At DHL Supply Chain East Africa, we’re looking for a Site Lead
Role Outline
To enhance the performance of Multiuser Site operations by effectively overseeing daily, weekly, and monthly activities, ensuring alignment with customer requirements and the achievement of contractual KPIs. The Site Lead will cultivate a culture of operations excellence, positioning DHL as the "provider of choice" for our clients. This role involves providing strong leadership, motivation, and development opportunities for the workforce, fostering an environment that makes DHL a great place to work. Additionally, the Site Lead will ensure the safe and efficient operation of the site, adhering to established guidelines and best practices to achieve defined outcomes for both the site and our customers.
About the role Key duties and responsibilities
• Implement actions as directed to reduce or eliminate health and safety related risks.
• Ensure the team applies to the Safety Standards and relevant guidelines.
• Implement Behavioral Based Safety (BBS) program daily to confirm behaviors and processes are followed as specified.
• Report and investigate incidents within the workplace and respond to or escalate issues of noncompliance to safety regulations and procedures.
• Implement defined processes to ensure compliance with all relevant regulatory and local legal obligations.
• Communicate all relevant DPDHL policies to frontline employees and monitor their implementation on a regular basis
• Implement the required security measures to protect the site premises, including the safety of personnel, DSC assets and of the customer's product for the required area.
• Adhere to the DSC 6 Steps security framework.
• Investigate all relevant security risks and implement identified mitigation, where necessary have proposed mitigation options to your line manager for agreement.
• Implement and supervise the adherence of up-to-date processes, work instructions, standard operating procedures and associated forms to achieve prescribed outputs
• Continuously contribute to the improvement of procedures to better achieve the prescribed outputs.
• Regularly update the operational training matrix / plan as required.
• Implement the CAPA process, particularly for critical nonconformities, with identified actions taken to prevent recurrence and avoid cost of non-quality.
• Liaise with suppliers based on business requirements, monitor performance and where necessary, propose improvements to line manager and implement agreed improvement actions.
• Investigate the risk of business disruptions and implement identified mitigation.
• Adhere to customer requirements in line with DPDHL policy.
• Participate in customer, regulatory and internal operational audits as required and work with the team to implement the agreed action plan
• Respond to or escalate customer issues within clear guidelines and recommend solutions
• Support management implement continuous improvement activities.
• Suggest local changes affecting the work or team to line manager to further support continuous improvement.
• Support management with resource planning and management e.g. implement agreed processes to review performance, monitor absence and sickness and address issues within clear guidelines.
• Process forecasted volume via the RPM system, align forecasted volume with resource plan and respond to or escalate issues within clear guidelines to ensure adequate resource is available to support the planned volume
• Identify and escalate training and qualification gaps and conduct induction and technical training for the team
• Participates in regular operation reviews and conducts regular colleague briefings via the use of Performance Dialogue boards and regular briefings.
• Communicates clear operational objectives.
• Within the context of responsibilities set by management, on a day-to-day basis, assign tasks, monitor performance and support the team as necessary
• Implement feedback channels for employees (e.g. Performance Dialogue boards, daily briefing sessions, EOS) to enable active contribution to the improvement and development of the site.
• Supervise the use of infrastructure and inspect the working conditions to the required standard.
• Supervise day-to-day performance, including achievement of agreed customer KPIs and other internal KPIs (eg. safety, operational, employee related etc).
• Track month-by-month budget expenditure in area of responsibility.
• Support the recruitment, appraisal and disciplinary / exit processes and provide recommendations.
• Conduct performance reviews and coaching with all direct reports and recommend performance ratings to management.
• Implements site plans within own area of operation.
• Monitor performance of people, equipment and processes and highlight to management areas for improvement.
• Implements timely reporting processes and corrective actions for underperformance.
• Communicates operational results.
• Implement the Site Development Plan identified actions for the required area.
• Participate in the Management Review Process.
• Implement the First-Choice tools and engage in continuous improvement activities and problem solving as directed, owning and delivering tasks affecting the required area within target completion times.
• Participate in an annual evaluation through the First-Choice assessment tool.
• Support the environmental agenda and continuous improvement activities to increase environmental efficiency.
• Communicate and engage employees in environmental improvement, First Choice and defined continuous improvement activities.
• Implement, conduct and coach Coordinators to conduct Gemba Walks and Performance Dialogues to identify areas for improvement. Respond to or escalate issues / opportunities within clear guidelines. Implement changes that have been approved and update standard operating procedures and training documentation.
• Support and supervise direct reports to help drive an engagement culture at the site.
• Maintain frequent sustained presence on the floor to supervise core activities and resolve or escalate tactical issues within guidelines.
• Communicate regularly to the team through Performance Dialogues, Gemba walks and briefings.
• Implement established local recognition procedures to reinforce behaviors associated with our culture (eg. Respect & Results, Continuous Improvement, Employee Engagement).
• Provide and receive feedback to the team and individuals in a constructive and productive manner.
• Participate in CSR (Corporate Social Responsibility) activities and engage employees in participation.
• Participate in regular team reviews, including performance, audit results, compliance, conformity, CAPAs, follow up actions and recommendations for improvements.
• Support management in active recognition of daily improvements.
• Support EOS opportunities and activities.
• Implement HR processes and tools to encourage and support the growth and development of individuals.
• Support the succession plan and talent agenda at the site by providing recommendations on direct reports as appropriate
• Support the recruitment and development of the team and supervise performance within local guidelines.
About you.
• Relevant University degree in Supply Chain Management/Purchasing, or Project Management.
• Logistics/Warehouse Operations Experience of 6 years.
• Finance & Budget Management (2 yrs).
• Microsoft office pruriency.
• Strong analytical & problem-solving skills, Innovative & creativity.
• Business and Commercial Acumen.
• Experience in warehousing/logistics / FMCG environment.
• Excellent communication skills (verbal and written).
• Well-organized individual and results oriented.
