Reporting to the Chief Executive Officer, the jobholder will ensure the smooth running of the office of the Chief Executive Officer and carry out office administrative duties. Additionally, they will provide business planning, strategy and coordination support to the office of the CEO. The role holder will create impact through leading key initiatives / projects on behalf of the Executive.

The Executive Assistant will be expected to use own judgment to make reasonable decisions in situations where the CEO is not immediately available for consultation.

To achieve the above, we are looking for a creative and results oriented individual who will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.

The Executive Assistant will have the ability to work independently on assigned projects and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Principal Accountabilities:Strategic Support the CEO through comprehensive coordination and preparation for key forums and meetings, timely development of strategic and financial reports, and proactive follow-up with stakeholders to ensure effective execution and communication.
 
Executive Support
  • Effectively manage the CEO’s diary.
  • Attend to the CEO’s visitors in a friendly and helpful manner, always ensuring a conducive environment.
  • Screen and direct phone calls and distribute correspondence.
  • Ensure effective operations within the executive office i.e. working tools and communication gadgets with minimal downtime.
  • Supervise the executive driver and ensure effective and timely support to the CEO.
  • Coordination of key company activities in partnership with other stakeholders within the company.
  • Planning and coordinating travel arrangements for the company executives and preparing expense reports in line with executive costs.
  • Format information for internal and external communication – memos, emails, presentations, reports.
  • Any other duties that will support the seamless management of the executive office.
Senior Management Liaison
  • Participating as an adjunct member of the Executive Team including assisting in scheduling meetings and attending all relevant meetings arising from the CEO’s diary.
  • Assist in coordinating the agenda of senior management team meetings and off-sites, and all staff meetings where the CEO is involved.
  • Ensure that the CEO's bio is kept updated and respond to requests for materials regarding the CEO and the organization in general.
  • Edit and complete first drafts of written communication to external stakeholders.

Academic and Professional Qualifications
  • Bachelor’s degree in Communication/ Business Related field.
  • Executive assistant certification/training.

Experience

  • 5 years in a similar position.
  • Experience in the financial services industry will be an added advantage.
  • Proven ability to work cross-functionally with internal and/or external stakeholders.
  • Previous experience as an Executive Assistant desired.
Core Competencies
  • Ability to engage effectively at a senior level with internal and external stakeholders.
  • Outstanding organizational and time management skills.
  • Ability to adapt quickly and align to changing business dynamics .
  • Familiarity with office gadgets and applications (e.g., e-calendars and copy machines).
  • Excellent MS office knowledge.
  • Excellent verbal and written communications skills. Good interpersonal relationship skills.
  • Excellent report writing ability.
  • High moral and ethical standing.
  • Negotiation and conflict resolution skills, Listening skills and confidentiality.
  • Self-starter with a good appreciation for business growth and priorities
